Cool New Stuff in Office 365: The Activity Button

Office 365 continues to be updated with new features! We wanted to start a blog series to share features that were either "new" or "newly discovered" by members of the Kiefer team. Hopefully this blog is helpful in assisting you in gaining a better understanding of the capabilities of Office 365.

This Activity Button feature (released in December 2016) allows you to look back at previous versions of a file that you may be collaborating on. Office 365 allows for multiple users to work on a document at the same time. Co-authoring is truly one of our favorite features in Office 365. We do however find the need to "turn back the clock" and edit from a previous version. In this bog, we share how it's done!

Office 2016 automatically saves versions of your SharePoint, OneDrive and OneDrive for Business files while you and your colleagues are working on them. These versions allow you to look back and understand how your files changed over time and will allow you to restore older versions in case you have made a mistake.


The Activity Button

To view historical versions

  1. Open the file you were working on.

  2. Near the far right end of the ribbon, click the Activity button to see a list of all the historical versions in the Activity pane. (The Activity button is only present when a file is stored in OneDrive, OneDrive for Business, or SharePoint.)

  3. Click a version to open and view it in a separate window.


Activity and editing history can be viewed in the Activity Panel

To restore a historical version

  1. Click Restore in the message bar at the top of the opened version.

Restore will save your current file as a new version and then replace your current file with the contents of the version you chose to restore.
